Carriage seeks a highly professional and personable Administrative Assistant to serve as the first impression of the Carriage Support Center. This role is critical in embodying our culture of premier experiences, ensuring that every individual, from team members to executives, board members, and guests, is welcomed with professionalism, warmth, and service excellence. The Administrative Assistant must bring hospitality-driven service, strong communication skills, and the ability to anticipate needs in a fast-paced corporate environment.
Compensation: $53,153 per year

Key Responsibilities
First Impression & Experience
Greeting and welcome all visitors with professionalism.
Manage visitor check-in processes, offer hospitality, and ensure each guest has a seamless experience.
Executive & Board Support
Communicate confidently with C-suite leaders, board members, and guests.
Office Coordination & Operations
Manage the front desk, ensuring a polished and professional environment.
Handle incoming calls, mail, and deliveries with accuracy and timeliness.
Oversee meeting room scheduling and ensure rooms are prepared and guests ready.
Administrative Support
Maintain confidentiality and always demonstrate sound judgment.
Culture & Service Excellence
Model Carriage’s commitment to creating premier experiences in every interaction.
Anticipate office and visitor needs, identifying opportunities to improve the Support Center environment.
Service Recovery & Complaint Resolution
Address concerns using the C.A.R.E. method (Connect, Assess, Respond, Ensure).
Apply empathy and professionalism to transform challenges into positive experiences.
Qualifications
3+ years of experience in hospitality, reception, administrative support, or a client-facing corporate role.
Exceptional verbal and written communication skills with a polished, professional presence.
Strong organizational skills with the ability to manage multiple priorities.
Proven ability to anticipate needs and provide proactive solutions.
High level of discretion and professionalism when handling confidential information.
